Your own database. Your own address. Very little personal data.
SweepBoard is built to hold as little information as it needs to do its job, and to keep each client completely separate from every other.
A separate database per client
Every client organisation has its own dedicated database. Your sites, plans and records are never held alongside another client’s.
Your own web address
Each client has a private SweepBoard address, served over HTTPS. Your wardens only ever see your sites.
Hosted in Europe
The live database runs on Google Firebase in Google’s Belgium region.
Administrator sign-in
Only named administrators with an email and password can change floor plans, areas, emergency plans or delete records.
No warden accounts
Wardens and controllers do not need a password. They enter their name so their actions can be attributed in the record.
Encrypted alerts
Phone alerts use the standard Web Push service with end-to-end encrypted messages, sent only to phones registered for that site.
Only what the record needs
- Site names, addresses, floor plan images and sweep areas
- The emergency plan text, contacts and assembly point photo you enter
- Names typed in by controllers and wardens when they use the app
- Times and notes for each action in a drill or evacuation
- An anonymous alert registration for each phone that turns alerts on
- Administrator email addresses
Nothing we do not need
- No names of people waiting in refuges
- No medical or disability information about any individual
- No location tracking of wardens or their phones
- No access to contacts, photos or anything else on the phone
- No advertising, analytics profiles or data sold to anyone
Short answers
Does anything need installing on our network?
No. SweepBoard is a web app. It runs in the browser on a phone, tablet or computer and needs only an internet connection over HTTPS.
Does it work on managed or company phones?
Yes, provided the browser is allowed to open the SweepBoard address and show notifications. It also works on personal phones with nothing installed from an app store.
Which devices are supported?
Current iPhones and iPads using Safari, Android phones using Chrome, and any modern desktop browser for the controller board. On iPhone the app is added to the Home Screen so that alerts can be received.
Who can see our data?
People who have your SweepBoard address can open the sweep views for your sites. Changing set-up and deleting records needs an administrator sign-in. TRM administers the service and can access your database to support you.
Can records be deleted?
Yes. An administrator can delete individual drill and incident records, and we can remove a whole site or client database on request.
Can we have a data processing agreement?
Yes. Ask us and we will provide the details you need for your own supplier checks.
Need this in writing for procurement?
Tell us what your security or information governance team needs and we will answer it directly.
